1. Open enrollment programs – registration and cancellation

1.1 A fully completed enrollment form must be submitted before a participant can be considered for admission to a program.

1.2 Completing and submitting the enrollment form signifies that the applicant is in agreement with the admission and cancellation policies of AIF (as outlined below).

1.3 Program cancellation charges/refunds apply as follows:
– 30 days or more prior to the start of the program: €250 administrative fee
– 29 days or less prior to the start of the program: 100% program fee is due

If the invoice has already been sent, a credit invoice will be issued. Should a refund be applicable, the amount will be settled within 30 days.

1.4 Notice of cancellation must be sent in writing (email) to AIF. Verbal notice is not considered a cancellation.  Substitution of participation is possible (as long as the substitute fits the applicable profile), and must also be requested in writing, with the full contact details of the new registrant.

2. Event – registration and cancellation

2.1 Completing and submitting a registration form to attend an AIF event signifies that the applicant is in agreement with the admission and cancellation policies of AIF (as outlined below in 2.2 – 2.3).

2.2  Event cancellation charges/refunds apply as follows:
– 15 days or more prior to the start of the event: no charge
– 14 days or less prior to the start of the event: 100% event fee is due

2.3 Notice of cancellation must be sent in writing (email) to AIF. Verbal notice is not considered a cancellation.  Substitution of registration is possible (as long as the substitute fits the applicable profile), and must also be requested in writing, with the full contact details of the new registrant.

3. Other general conditions

3.1 AIF reserves the right to refuse admission to a program if the applicant is considered to not possess the required knowledge/background appropriate to the program.

3.2 AIF reserves the right to decline an applicant to ensure the diversity of the group in any given program. This is at the discretion of AIF.

3.3 After receipt of registration a cooling-off period of 14 days applies. If a registration falls within 14 days prior to the start of the course, the cooling-off period does not apply.

3.4 If a person has enrolled stating his/her employer will pay for the expenses involved, the employer is and remains responsible for the payment of amounts due in all circumstances (including termination of employment or cancellation of program participation).

3.5 AIF reserves the right to refuse entry to the program in case of non-payment of fees or other amounts due.

3.6 Prices may be subject to change and AIF reserves the right to charge additional amounts to reflect price changes taking effect before the start of the program.

3.7 Program fees include all necessary program materials (books, articles, software etc that is required for and/or used during the program), as well as lunches and daily refreshments. Accommodation (overnights) is not included.

3.8 As a training institute, AIF is exempt from VAT.  For AIF clients located within the Netherlands, AIF’s program fee is exempt from VAT.  For other EU and all non-EU clients, VAT or other applicable taxes may be due by client to the client’s tax authority.

3.9 Payment of the fee is required within 14 days of the invoice date, unless otherwise stated on the invoice. Payment needs to be settled prior to participating.

3.10 In case the employer pays for a delegate’s participation, that employer may request to be sent the delegate’s test results, progress and/or attendance records (if applicable).

3.11 Any refund made by AIF will be paid to the original payor.

3.12 Participation in programs is not transferable between participants unless AIF is notified in writing at least 24 hours prior to the program start. All replacement participants must submit a completed AIF enrollment form and should have the required knowledge/background appropriate to the program.

3.13 AIF reserves the right to use its discretion to determine whether to make refunds in particular instances which fall outside paragraph 3 above.

3.14 AIF reserves the right to make changes to the program, faculty, dates and/or location to what has been published at one point.

3.15 AIF reserves the right to cancel a program due to unforeseen circumstances, including but not limited to too few participants. In such a case, program fees will be reimbursed. However, AIF can not assume responsibility for any travel, accommodation or other costs incurred for a cancelled program.

3.16 The participant is responsible for all personal accommodation charges incurred including in the case of cancellation.

3.17 Liability of AIF for losses arising from their negligence (except in the case of liability for death or personal injury), breach of contract or otherwise will be limited to the full amount(s) paid by the relevant participant(s) for the relevant program(s) and/or materials.

3.18 Faculty and/or AIF team members will handle all shared information by participants prior, during or after the program with confidentiality.

4. Program materials

4.1 All required materials will be supplied by AIF.

4.2 When study materials are supplied in conjunction with a program, they are included in the fees quoted.

4.3 Full fee payment is required prior to dispatch of materials or provision of online user IDs/ passwords.

4.4 Materials will be made available, whenever possible, a minimum of two weeks prior to the start of the program.

4.5 Any redistribution or reproduction of study materials provided by AIF before, during or after program is prohibited. You may only print or download to a local hard disk extracts for your personal and non-commercial use. You may not, except with AIF’s explicit and written permission, distribute or commercially exploit any of the materials.

5 Force majeure

5.1 AIF reserves the right to cancel, change, reschedule, relocate, or suspend (the execution of) programs in the event of a force majeure.

5.2 If it is established that the force majeure is of a permanent nature, the agreement between AIF and its participants to the relevant program(s) will be dissolved, and AIF will refund the relevant amount(s) within 30 days.

5.3 A force majeure could be to the sudden and unexpected unavailability of one or more lecturers or the reserved location.

5.4 In the event of cancellation on the basis of this article, AIF is never obliged to compensate any damage(s) occurred resulting from this to its client(s).

AIF and their officers, directors, employees, or agents of any kind, waive any and all liability and/or responsibility for any amount or kind of loss or damage that may be incurred by participants or any third party (including, without limitation, any direct, indirect, punitive or consequential loss or damages, or any loss of income, profits, goodwill, data, contracts, use of money, or loss or damages arising from or connected in any way to business interruption, and whether in tort (including without limitation negligence), contract or otherwise) in connection with the AIF website in any way or in connection with the use, inability to use or the results of use of the AIF website, any websites linked to the AIF website, or the material on such websites, including, but not limited to, loss or damage due to viruses that may infect computer equipment, software, data, or other property on account of access to, use of, or browsing the AIF website or downloading of any material from the AIF website or any websites linked to the AIF website.

Nothing in this legal notice shall exclude or limit our liability for: (a) death or personal injury caused by negligence or (b) fraud; or (c) any liability that cannot be excluded or limited under Dutch law.
